Time Management – How Much Time

One of the key steps in time management is to decide how much time you are going to allocate to specific tasks in the day. Having a to-do-list and prioritising the tasks you are to work on is extremely important, but it is only part of the process, without deadlines and time limits on the tasks all too many people will allow the tasks to fill the time available.

In order to maximise the efficiency of the time available it is vital to ensure that you decide at the beginning of the day exactly how much time you are going to allocate to each task during the day. This has the advantage of focusing your efforts into a specific time frame.

It is important to ensure that you do not allocate more than 75% of your available time during this process, which is six hours of your working day assuming you work and eight hour day. There are several reasons for this including:

  • Allow for overruns
  • Allow for interruptions
  • Allow for organising information at the beginning of the task
  • Allow for filing and storing information at the end of the task

Many people will say that they do not know how long a task will take and sometimes this will be the case, but it is always important to use you best guess estimate to ensure that you have a time frame to work to. Also in the future when you have a similar task you will get better at estimating the amount of time it will take.

The result is that your time management will get more and more effective and increasingly focused as you work within specific time frames throughout the day. As always every time management strategy is designed to lead you towards the achievement of your most important goals, both at work and in your home life.
